Integration with Calendly
1. What is Calendly?
Calendly is a meeting scheduling tool that we have recently integrated into our Applicant Tracking System.
This new integration aims to make it easier for recruiters to schedule interviews with candidates, as appointments can be directly selected within the ATS by checking availability with Calendly.

2. What are the advantages of using Calendly in an Applicant Tracking System?
- Ease of use: Calendly is designed to be intuitive and easy to use, both for the recruiter and the applicant. The platform offers a simple user interface.
- Real-time updates: our Applicant Tracking System regularly imports activities from Calendly and links them to the relevant candidate or contact person, namely the client, avoiding overlaps and duplicate bookings.
- Automation of follow-ups: Calendly offers options to set confirmation, reminder or follow-up e-mails for invitees.
- Time saving: the platform eliminates the need to exchange e-mails or make phone calls to schedule a meeting. Calendly simplifies the scheduling process, saving time for both recruiters and candidates.
3. How does the integration of Calendly into our Applicant Tracking System work?
The recruiter:
a. The recruiter creates the event by providing slots for the recipients of the invitation to book individual, group or other events.
b. Directly from our ATS, the recruiter sends a direct e-mail to an individual candidate or uses multimailing to a list of candidates.
The candidate:
c. The candidate receives the e-mail from our ATS with the link to Calendly. He/she just needs to click on the link in the e-mail and books the slot he/she prefers, entering the required details: name, e-mail address and any message.
d. He/she views the confirmation and can add the appointment to his/her calendar (Google, Outlook, etc.).
Within the Applicant Tracking System:
e. The date for the interview is imported as an activity in the ATS and displayed in both the candidate’s profile and the recruiter’s calendar as an appointment of type First interview.
f. Once the appointment is over, the Feedback tab appears, where comments on the outcome of the interview can be entered.
